Role description: Administration
Caring Hands is small, well-established charity based in Newcastle upon Tyne. This is an exciting time to join the charity, as it is about to undergo a full review and re-envisioning of its purpose, services and brand. The new Office Manager will work directly to the Chief Executive and will be involved in putting a robust administrative framework in place.
The job is mostly office-based, with some limited opportunity for home-working. Part-time will be considered (min 3.5 days per week).

Main Responsibilities:
People Management
- Help develop and take ownership of a People Management Strategy
- Manage recruitment of staff and volunteers
- Manage and monitor the onboarding cycle for new staff and volunteers.
- Develop and support a staff and volunteer training and development plan
- Assist with payroll and expenses processes
- Lead communication and engagement initiatives to foster a positive and inclusive work environment
Office Management
- Manage Admin staff and volunteers
- Set up office systems and ensure they are maintained
- Ensure databases are maintained accurately
- Promote and ensure GDPR compliance
- Take responsibility for procurement of supplies and equipment
- Develop relationships with external service providers and suppliers
- Ensure compliance with financial routines
- Attend Trustee Meetings to take minutes
Health and Safety
- Ensure all Health and Safety requirements are met in the office
Core Skills and Attributes
Essential
- Experience in working within an office administration role
- Experience of setting up systems
- Excellent understanding of HR policies and procedures
- Excellent Microsoft experience – word, excel, SharePoint, PowerPoint and email
- Experience of managing the workload of others
- Detailed and methodical
- Ability to work under pressure
Desirable
- Experience of working with or as a volunteer
- Good understanding of Health and Safety
- Experience of minute taking
